The Person-Environment-Activity Research Laboratory (PEARL) is looking for a new person to welcome people into the our facility. PEARL is part of the Department of Civil, Environmental & Geomatic Engineering (CEGE) at University College London, based in Dagenham. PEARL works with many different groups, including members of the local community, scientists, engineers, architects, artists, musicians, people from industry and government, to help us create a better world for all. The postholder will be the first point of contact for people visiting us and will play an essential role in the smooth running of operational aspects of the Front Office.
About You
Duties and responsibilities
Front Office Services
Be a welcoming, approachable, informed, friendly face for the public, visitors and staff and act as a key point of contact in the building.
Deliver the highest level of customer service and responsiveness to both internal and external contacts and disseminate information to the relevant stakeholders.
Work at the Chadwick Building Front Office (Bloomsbury campus) in central London as part of the monthly operation aiming to enhance own learning, promote collegiality and understand the different department operations.
Develop positive working relationships with internal and external stakeholders, across sections and different department facilities and provide proactive and positive service, according to UCL and departmental policies and procedures.
Work effectively within the wider front office function of the department and provide support and cover to their substantive or partner colleagues, where needed during break times or for shift requirements.
Handle telephone, email and in-person enquiries, the incoming and outgoing mail, organise deliveries, representing PEARL/CAVE and CEGE in a prepared and professional manner at all times.
Arrange bookings for departmental rooms and support staff in booking other rooms across campus.
Provide general administrative support to aid the effective operation of the Front Office and liaise with academic and professional services staff to support student events and activities.
Skills and experience
Experience of working in a customer facing role in a busy customer-orientated environment.
Highly competent user of Microsoft Office suite and ability to learn new systems and databases.
Excellent communication skills, with a high standard of written and verbal English
Ability to build positive working relationships and provide a friendly service to people at all levels
Professional and confident manner with a high standard of customer care and responsiveness
